Administrative Assistant


The Animation Guild is seeking an administrative assistant.

Administrative assistants provide administrative services in support of the Animation Guild membership and staff to accomplish the organization’s goals.

Based in Burbank, CA, the Animation Guild is Local 839 of the IATSE, and is a 501(c)(5) non-profit. Local 839 represents over 4,000 Los Angeles animation artists, technicians and writers in the entertainment industry.



Responsibilities:

  • Provide and coordinate administrative support to the Local 839 office and staff
  • Provide back-up reception duties, answering phones and greeting visitors as needed
  • Assist with member updates, including data entry, cross-checking and paper filing
  • Prepare materials, correspondence, fliers, forms, announcements and other documents as needed by staff
  • Process member requests and complaints ( email, telephone and walk-in) and as needed, refer to appropriate staff for resolution
  • Assist with meetings, including scheduling, room prep, agenda preparation, typing and distributing minutes, and executing follow-up work from meetings
  • Conduct inventory and request office supplies as needed, consistent with applicable approval policy
  • Interact courteously and tactfully with managers, co-workers, members, vendors or associates
  • Perform other duties as required to support the Local and the mission of the organization

Qualifications and Skills:
  • Expertise using standard office software, including Microsoft Office and Google Suite
  • Experience with Adobe Creative Cloud suite a plus
  • Knowledge of standard business documents
  • Proficiency using the internet as a search tool
  • Excellent organizational and clerical skills, superb attention to detail
  • Ability to communicate and relate respectfully with a diverse membership and staff
  • Commitment to provide accurate, efficient and friendly service to staff and members
  • Strong problem-solving skills, ability to multi-task and prioritize workload
  • Must work well in a team, fast-paced small-office environment
  • Self-motivated, energetic and committed to delivering high-quality work
  • Exceptional punctuality and attendance
  • Excellent customer service skills, ability to patiently work with members in a reassuring and helpful way while finding a successful resolution of their concerns.
  • Well-developed listening skills, with an ability to identify key facts during calls and relay relevant information to office staff
  • Familiarity with labor unions and issues is a plus
  • Committed to learning new skills as needed to support the organization’s goals

Physical Requirements:

Sitting at a computer workstation for extended periods (up to four hours at a time) typing. Lifting up to 20 pounds. Employees must recognize that working in the labor movement is tough, demanding work, which sometimes requires working long or irregular hours that may necessitate overtime. Some limited travel may be required.
